Coffee Cart Boys (“we”, “us”, “CCB”) operates coffeecartboys.com and the online ordering experience at order.coffeecartboys.com. This page explains what personal information we collect, why we collect it, and how to ask us to delete it.

What we collect

When you book an event with us (via our contact form, HoneyBook intake, or by emailing us directly):

  • Your name and email address
  • Phone number, if you provide one
  • Event details (date, location, headcount, drink preferences) you share to plan the event

When you place a drink order at one of our events through the online ordering app:

  • Your first name (or a name you choose to give us)
  • Your mobile phone number (used to text you once when your drink is ready)
  • The drinks you ordered and any customisations

When you pay for drinks per-cup through Stripe Checkout at a “by-the-cup” event:

  • Your billing name, email, and billing address (collected by Stripe so they can compute sales tax and send you an emailed receipt)
  • Your payment method (handled entirely by Stripe — we never see or store your card number)

We do not knowingly collect information from anyone under 13.

How we use it

  • To prepare and deliver your drinks at the event
  • To send you a one-time SMS when your drink is ready (“Sean, your Honey Lavender Latte is up at the cart”)
  • To send you a receipt by email after a per-cup payment
  • To respond to event-booking inquiries and follow up on quotes
  • To improve our menu, scheduling, and service quality (aggregated, not tied to you personally)

We do not:

  • Sell or rent your personal information to anyone
  • Share your information with advertising networks
  • Use your phone number for marketing texts (only one transactional message per drink)

Who we share it with

We share the minimum necessary with third parties that help us run the business:

We will also disclose information if compelled by law (subpoena, court order) or to investigate suspected fraud or abuse.

How long we keep it

  • Event booking records — for the life of our relationship and up to 7 years afterward for tax and accounting purposes.
  • Per-cup payment records — 7 years (IRS / California tax retention).
  • Order details (drink, drink customisations) — indefinitely as part of our menu and operations history.
  • Mobile numbers — kept attached to the booking record. We do not maintain a separate marketing list.

Your rights

You can ask us to:

  • Show you what information we have about you
  • Correct anything that’s wrong
  • Delete your personal information (subject to legal retention requirements above)
  • Stop using your information for any non-essential purpose

To make a request, email us at team@coffeecartboys.com with the subject line “Privacy Request” and include the email or phone number associated with your records. We’ll respond within 30 days.

California residents have additional rights under the CCPA, including the right to know what categories of personal information we collect and to opt out of any “sale” of personal information (we don’t sell it). Email the same address to exercise these rights.

Cookies and analytics

Our marketing site uses standard web analytics (Google Analytics) to understand which pages visitors find useful. Analytics data is aggregated and not tied to your name or contact information unless you separately submit a form.

Our team dashboard and ordering app use only the cookies required to keep you signed in or to remember your in-progress cart. We do not use third-party advertising cookies.

You can disable cookies in your browser; the ordering app may not remember your cart across page refreshes if you do.

Changes to this policy

We may update this policy from time to time. When we do, we’ll bump the “Last updated” date at the top. Material changes (e.g., new categories of data collected) will be highlighted at the top for at least 30 days.

SMS / Text Message Communications

Mobile phone numbers are collected only when a guest voluntarily enters one on an event ordering page at order.coffeecartboys.com. The phone field is optional — guests who skip it have their name called out at the cart instead.

Below the mobile phone field, the form displays the following disclosure: “By providing your number you agree to receive a one-time text when your drink is ready. Reply STOP to opt out.”

We use the mobile number only to send one transactional SMS per drink ordered, notifying the guest that their drink is ready for pickup at the cart they are physically attending. The message body is a single sentence (e.g. “Your Honey Lavender Latte is up at the cart!”) and does not contain links, attachments, or promotional content.

We send SMS through Twilio, Inc., acting as our messaging processor. The mobile number is shared with Twilio and the recipient’s mobile carrier solely to deliver the notification. No mobile information, including phone numbers and opt-in consent, will be shared with third parties or affiliates for marketing or promotional purposes.

Phone numbers and SMS delivery records are retained for 90 days after the event for operational and audit purposes, then deleted from our active systems. Opt-out records (numbers that replied STOP) are retained indefinitely to prevent re-contact.

Recipients may opt out at any time by replying STOP to any message from us. To request help, reply HELP. To request deletion of a number from our records outside of these flows, email team@coffeecartboys.com.
